Overview

Course Administrator

Each academic year, the Glavin Office of International Education partners with Babson faculty members to run Electives Abroad and International Consulting Experiences. These courses are offered for both graduate and undergraduate students in a variety of disciplines and locations around the world.

In order to ensure the highest standards of risk management on these courses, Babson sends each faculty with one course administrator. Course administrators are generally full-time administrators or faculty members at the college. While the faculty member is the country and topic expert, the administrator’s role is to provide logistical support, be knowledgeable about Babson policies and procedures, and to be available for managing emergencies in conjunction with the faculty.

A key role of the administrator is to assist in the event of a student illness or emergency, ensuring that the faculty can focus on their teaching. In this role, the administrator is expected to develop their knowledge of the countries visited and find opportunities to share their experiences with the broader campus community, reinforcing campus internationalization, and raising the profile of the lead faculty and the corresponding course.

The Opportunity

There are four steps you should complete as you consider whether this opportunity is right for you:

  1. Review the administrator qualifications, responsibilities, compensation, and selection process below.
  2. Speak with your manager about your interest in, as well as, the responsibilities of the administrator role. Your manager must approve your participation prior to submitting the interest form.
  3. Review courses offered (Graduate MBA | Graduate MSEL | Undergraduate | International Consulting Experience).
  4. Complete the interest form.

Qualifications

The Babson Elective Abroad Course Administrator should have the following qualifications:

  • Full-time Babson employee
  • Experience leading groups of students as well as managing group dynamics and expectations
  • Ability to exercise good judgment and make decisions in stressful situations
  • Ability to be flexible, work as part of a team, and exercise fiscal responsibility
  • A desire to promote international education
  • Available to work evenings and weekends and travel internationally one to two weeks (unaccompanied by partner and/or children)

Preferred Qualifications

  • Exempt Babson full-time employee (Non-exempt employees will be considered with approval from supervising department.)
  • Prior experience leading student groups abroad
  • Experience traveling internationally
  • Available to participate in the role for two consecutive courses

Responsibilities

The Babson Elective Abroad Course Administrator is responsible for the following:

Evaluation & Assessment

  • Meeting with the program manager, faculty, and provider (if applicable) to debrief the course
  • Attending the course wrap-up session (if applicable)

Budgeting & Financial Management

  • Following Glavin Office/Babson policies and procedures for submitting expense reports and allocating PCard expenses in Workday by the deadline (PCards: 25th of the month, Expense Reports: two weeks from course end date)

Miscellaneous

  • Acting as a representative of Babson College and as such following the College’s expectations for professional conduct during all aspects of the course
  • Partnering with the Glavin Office to share experience with the Babson College community after the course

Course Activities

  • Being present and participating in all course-related activities
  • Engaging students in informal conversations and encouraging reflection about course content, culture, and their overall course experience as opportunities present themselves
  • Ensuring students are meeting group expectations established during pre-departure session

Course Logistics

  • Carrying and managing thank you gifts, handling payments and gratuities at group events, and distributing materials (as needed)
  • Addressing travel logistics (in country) for the group, including resolution of issues as they occur “on the ground”
  • Acting as the “point person” to the program manager for travel, logistics, and course updates

Health & Safety

  • Handling any emergency or disciplinary issues that may arise in a professional manner and in collaboration with faculty, Public Safety, and program manager (as appropriate)
  • Maintaining regular communication with program manager during health, safety, or wellness crisis

Budgeting & Financial Management

  • Keeping track of all expenses incurred during the program

Pre-Departure Sessions

  • Attending all pre-departure sessions and assisting the faculty (as needed)
  • Setting expectations for the group during the Health, Safety & Culture session (UG courses only)
  • Collecting student domestic and international phone information
  • Distributing course gifts to students

Preparation for International Travel

  • Completing all necessary online forms by the deadline
  • Understanding the expectations of and fully supporting the faculty
  • Attending all meetings with program manager, faculty, and provider (if applicable) prior to departure to review important logistical matters and health and safety information
  • Preparing for travel through self-education on country culture, facts, basic language, etc.

Health & Safety

  • Participating in one mandatory International Travel Workshop
  • Becoming knowledgeable about Babson Emergency Protocols

Compensation

The administrator receives full travel expense coverage for all course-related expenses. Please note that the Glavin Office has set budgets for administrators that may vary from the College Travel Policy (consult with the program manager for guidance). There is no additional compensation for the administrator as their involvement in the Elective Abroad is considered by the College to be a professional development activity.

Application & Selection Process

During the past few years, the faculty and the Glavin Office have worked together to make this administrator opportunity available to staff campus-wide. Administrators may be nominated by a Babson Electives Abroad lead faculty member or may express individual interest. All interested administrators must complete the above steps including the interest form in order to be considered for this role.
