Reservation, Pick-up and Return of Rental Vehicles

  1. Reservations
    Assuming compliance with the Babson College Driver and Vehicle Use Policy, reservations must be made in compliance with the Babson College Travel Policy.
  2. Pick-Up
    1. Vehicle Inspection
      1. Drivers must allow time for and must clear snow and ice from vehicles prior to driving.
      2. Drivers must inspect vehicles prior to beginning their trip.
        1. Note any damage and safety problems, and immediately report such issues to the Rental agency.
        2. If rental agency allows the driver to drive with damage to the vehicle, the driver must take pictures of the damage prior to leaving with the vehicle.
        3. Vehicles with obvious safety problems must not be used.
  3. Return
    1. The driver must take pictures to confirm post-trip condition of the vehicle.
    2. Damage incurred during the rental period must be reported to the rental agency upon returning the vehicle. The rental agency should contact the Office of Risk Management 781-239-5688 for reimbursement.
    3. Damage incurred during the rental period must also be reported to the department manager and to the Office of Risk Management immediately upon return to campus, but no later than 1 week after the vehicle is returned to the rental agency.
    4. Damage that is not reported in a timely manner may result in the department or individual being responsible for the full cost of the damage repair.
